Responsible AI FAQ: Suggest with Copilot

This page describes the Suggest with Copilot capability of the Import Data Templates app: what it does, how it was evaluated, its limitations and how the data is handled. It applies to the Copilot capability registered as Import Template Suggestions.

What is Suggest with Copilot?

Suggest with Copilot proposes a complete import template from a sample file. Starting from the columns of the file and the fields of the tables the template writes to, it proposes the file settings (field delimiter, encoding, header line, first import line) and one mapping line for every column it can map, together with the default values, the data formats, the new document indicator and the mandatory flags it considers appropriate. Every proposal comes with a one-sentence reason.

What is Suggest with Copilot's intended use?

It is meant to shorten the configuration of a new template. A consultant or a user who knows the file and the target document reviews the proposal, edits it and keeps the part that is right. It is not meant to configure templates without review, and it is not meant to import data: nothing is imported by this feature.

What are the limitations of Suggest with Copilot? How can users minimize the impact of its limitations?

  • The proposal is a suggestion, not a validated configuration. It must be reviewed before it is kept, and it must be tested with Validate File or with a trial import before it is used in production.
  • Nothing is written to the template unless the user chooses Keep it. Discard leaves the template exactly as it was.
  • Answers can be wrong or incomplete, as with any generative AI feature.

What operational factors and settings allow for effective and responsible use of Suggest with Copilot?

  • The capability is off or on per environment: an administrator manages it in the Copilot & agent capabilities page. When it is off, the action is not shown.
  • The consumption is billed to the environment through Copilot message billing; the administrator must have set up billing for Copilot and agent capabilities.
  • Access to the feature follows the ordinary permissions of the app: only users who may configure templates see the action.
  • The person who reviews the proposal should know both the file and the target document, and should test the template before it is used.

How do I switch Suggest with Copilot off?

An administrator opens the Copilot & agent capabilities page in Business Central, selects Import Template Suggestions and sets it to inactive. The action disappears from the template card and no call is made. Templates already created with the feature are ordinary templates and keep working.
