Import Data Templates

Import Data Templates imports documents, journals, master data, price lists and bank statements into Microsoft Dynamics 365 Business Central through configurable templates.

Users can quickly import data in its original format without the need for complex data transformations or customizations.

Common use cases:

  • Vendor invoices and purchase orders received as spreadsheets.
  • Sales orders and invoices from webshops, marketplaces or API exports.
  • Payroll and allocation journals from external systems.
  • Bank statements, supplier price lists, physical inventory counts.




Import

  1. The import starts directly from the page the data belongs to: the journal, the document list, the master data list.

  2. Excel, CSV, fixed-length, JSON and XML files are supported.

  3. The most common types of Business Central entries are covered:

  • Documents: Sales Quotes, Sales Orders, Blanket Sales Orders, Sales Return Orders, Sales Invoices, Sales Credit Memos, Purchase Quotes, Purchase Orders, Blanket Purchase Orders, Purchase Return Orders, Purchase Invoices, Purchase Credit Memos, Transfer Orders, Assembly Orders.
  • Journals: General Journals, Payment Journals, Cash Receipt Journals, Sales Journals, Purchase Journals, Project Journals, Project G/L Journals, Fixed Asset Journals, Fixed Asset G/L Journals, Resource Journals, Item Journals, Item Reclassification Journals, Physical Inventory Journals.
  • Master data: Customers, Vendors, Items, together with their related records on the same row: bank accounts, ship-to addresses, item references, units of measure, item attributes and default dimensions.
  • Price lists: the lines of sales and purchase price lists.
  • Bank statements: bank statement files into payment reconciliation journals.

  1. Import single files or multiple files within a ZIP archive.

  2. Use mapping rules to map external data to Business Central entities.

  3. Provide specific parameters during the import process for variable data, such as selecting the posting date.

  4. Automatically apply processing actions to the imported data, such as releasing documents or posting journals.

Management

  1. The list of imported files can be saved, also preventing duplicate imports.

  2. Templates can be made available only to specific users.

  3. Import, export and copy existing templates.

  4. Create templates based on example files or export the template structure to be filled with data.

  5. Let Copilot propose the whole template from a sample file, review the proposal and keep it.

Automation

  1. Automatic imports: files dropped in a SharePoint, Azure Blob Storage or Azure File Share folder are imported by a job queue, with no user involved.
  2. API integration is available to automate the import process from external systems or through Power Automate.
